Deposit policies are essential for establishing automatic deposit requirements during the reservation creation process for customers or users. Meeting the deposit requirement triggers an automatic transition of the reservation to a Confirmed status. To enable online booking for a product, it is imperative to create a corresponding deposit policy and link it to the product.

Policies can be viewed or setup by following the below steps:

When in the Booking module, locate the Settings button in the top menu ribbon.

Proceed to the Policies tile. You may find an existing list of policies. If you need to edit a policy, select it. To create a new policy, click on Add New located at the top right corner.

Field	Function
Name	Assigns a name to the policy.
Booking Period	Specifies the duration the deposit remains valid for use, such as Daily, Hourly, Nightly, etc.
Booking Guarantee	Determines the payment method that confirms the reservation. For online reservations, utilize the Credit Card booking guarantee as it enables online deposits.
Deposit	Establishes the deposit amount, which can be a fixed sum, a percentage of the total reservation, or a fixed rate per day.
Deposit Product	Links to a product created in POS → Products, with the associated GL accounts where the deposit funds are held until check-in.
Refundable	Sets the number of days before arrival within which the deposit is refundable. Users can override this when canceling.
Full Payment	Specifies the number of days before arrival that necessitates the full reservation amount as the deposit.
Include All Fee Toggle	For percentage-based deposits, this toggle factors in price adjustments and add-ons in the calculation.
Include Promo Code Toggle	When calculating the deposit, this toggle considers any applied promo codes.
Cancel Online Toggle	Enables customers to cancel reservations online.
Tax Inclusion Toggle	Incorporates tax in the required deposit calculation.
Security Deposit Toggle	Indicates whether the deposit serves as a security deposit.
