Marina - Seasonal Reservations

Seasonal sailors docking for sunny months? Consider offering a seasonal rental. As a marina expert, you know seasonal rentals allow marinas to provide summer and winter storage options that meet customers' needs. Showcasing your flexibility and understanding of boaters' seasonal patterns shows you're invested in their boating lifestyle.

Seasons are required prior creating seasonal reservations. From the navigation pane select System Settings → Seasons. Please find the following documentation to setup Seasons.

Creating a reservation - Existing Customer

Step 1. Select Product

  1. Navigate to Marina module from the navigation pane.

  2. Select Reservations from the menu ribbon.

  3. Click the drop-down arrow next to Add New button and select Advanced Reservation.

  4. Selecting the Booking Period Seasonal.

  5. Select the Product to create the reservation.

Step 2. Search Availability

If the customer is existing, you can click Existing Vessel located next to the Search header. Enter the Customer Name or Vessel Name and select the customer’s vessel. This will automatically enter the customer and vessel information in the form below.

  1. Click Existing Vessel located next to the Search header.

  2. Select the Season from the drop-down box. This will populate the dates based on the season setup.

  3. Enter vessel information if applicable.

Depending on the product pricing there may be other required fields for the search criteria. This could be different for each product and is not limited to Length Overall, Beam, Draft, Height, and/or Weight. If you selected a vessel these fields will automatically populate.

  1. Click the Advanced Search drop-down to view more reservation options (if needed).

    1. Wait List - When adding a waitlist reservation only spaces which meet the vessels size constraints will appear for selection. If there are no restrictions on the product all spaces tied to the product will be available for selection.

    2. No Rules - If you want to override the space constraints.

  2. Click the Search button to calculate pricing and availability for spaces.

Step 3. Calculate Pricing

  1. Pricing will automatically calculate from the product setup, using the product pricing. If there are multiple Rate Plans available select the dropdown box and select the correct rate plan.

  2. Pricing can be overridden by clicking the Fixed Price check box and entering the Price in the base price $ dollar amount. Verify your price matches the frequency stated next to the price, for the season.

  3. If there is a deposit policy setup the Deposit Required amount will automatically populate. You may override the deposit amount at any time.

  4. If the product has additional charges, they will display in the Other Options select. Select the additional charge if applicable.

  5. Click the Advanced Pricing (Rate Plans, Cancellations Policies, etc.) drop-down to view more option or change the price of the additional charge.

    3. Tax Code

    4. Product Contracts

Step 4. Select the Space

Located under the Price Details on the lower right-hand side.

  1. Select the Space assignment for occupancy from the drop-down box.

Step 5. Customer Information

  1. Verify all the customer information is correct. Select the Edit button and make any necessary changes.

  2. Click the Save button located in the Customer Section (note this is not the reservation save button).

Step 6. Vessel Information

  1. Verify all the vessel information is correct. Select the Edit button and make any necessary changes.

  2. Click the Save button located in the Vessel Section (note this is not the reservation save button).

Step 7. Enter Comments

  1. Enter any Special Requests the customer as asked for i.e. would like a space closest to the restrooms.

  2. Enter any Internal Notes the user feel necessary for their staff to see only. Customer will not see these notes.

  3. Enter any External Notes the user would like to have printed on the customer invoices for their view.

Step 8. Accounting

  1. The accounting settings are defaulted from the product setup. These default settings can be overridden in the Accounting section. The most changed is the Frequency and Next Invoice Date.

Step 9. Price Details

  1. Verify the Base Rate, Extras, Taxes, Total and Deposit Due Now are all correct.

  2. Click the Save button.

Creating a reservation - New Customer

Step 1. Select Product

  1. Navigate to Marina module from the navigation pane.

  2. Select Reservations from the menu ribbon.

  3. Click the drop-down arrow next to Add New button and select Advanced Reservation.

  4. Selecting the Booking Period Seasonal.

  5. Select the Product to create the reservation.

Step 2. Search Availability

  1. Use the date picker to enter the From Date.

  2. Enter vessel information if applicable.

Depending on the product pricing there may be other required fields for the search criteria. This could be different for each product and is not limited to Length Overall, Beam, Draft, Height, and/or Weight. If you selected a vessel these fields will automatically populate.

  1. Click the Advanced Search drop-down to view more reservation options (if needed).

  5. Click the Advanced Pricing (Rate Plans, Cancellations Policies, etc.) drop-down to view more option or change the price of the additional charge.

Step 4. Select the Space

Located under the Price Details on the lower right-hand side.

  1. Select the Space assignment for occupancy from the drop-down box.

  2. Enter the customer’s information, Display Name and Email are required fields to enter the customer.

There is a setting in Company Settings → Reservation Settings → Phone number is required, which will require a customer phone number.

  1. Click the Save button located in the Customer Section (note this is not the reservation save button) .

Step 6. Vessel Information

  1. Click the Create New Vessel button.

  2. Enter the customer’s vessel information, Vessel Name and Boat type are required fields to enter the vessel.

  3. Click the Save button located in the Vessel Section (note this is not the reservation save button).
